We are looking for a highly organized Administrative Business Partner to join a Contract position supporting executive leadership and daily office operations in Honolulu, Hawaii. This role blends high-level calendar and meeting coordination with front office oversight, team support, and member-facing service. The ideal candidate brings sound judgment, strong communication skills, and the ability to keep administrative processes running smoothly in a fast-paced environment.
Job Responsibility
Manage the General Manager’s schedule, coordinate appointments, and ensure timely follow-up on communications and meeting preparation
Plan and facilitate Board and committee meetings by assembling agendas, documenting discussions, maintaining minutes, and preserving official records
Review administrative procedures to identify opportunities for greater efficiency, refine workflows, and keep standard operating procedures current
Provide day-to-day leadership for the reception function, including training, scheduling, and guiding front desk staff to maintain consistent service standards
Serve as a point of contact for members and guests by responding to inquiries, directing calls, and assisting with reservation-related needs
Oversee core office activities such as supply management, document organization, and coordination of administrative priorities across the workplace
Support special assignments and event-related initiatives, including projects tied to major organizational milestones, as directed by leadership
Requirements
At least 3 years of relevant experience in administrative support, executive assistance, office coordination, or a similar business support role
Prior experience supporting senior leaders and managing meeting logistics, calendars, and executive communications
Ability to answer phones and provide excellent customer service
Demonstrated ability to supervise or guide administrative or front desk staff in a detail-oriented service environment
Strong written and verbal communication skills with the ability to prepare meeting materials, records, and correspondence accurately
Proficiency with Microsoft 365 applications, Microsoft Teams, SharePoint, and virtual collaboration tools
Experience documenting or maintaining standard operating procedures and improving office workflows
Bachelor’s degree in business, hospitality, or a related field is preferred
Familiarity with AI-enabled productivity tools such as ChatGPT is a plus
