Our client has an immediate need for an Administrative & Bookkeeping Assistant on a contract-to-hire basis. This role supports a busy tax and bookkeeping team and is ideal for someone who can handle front-office responsibilities while assisting with light accounting tasks. The environment is fast-paced, especially during tax season, and requires strong organization, accuracy, and communication skills.
Job Responsibility:
Answer and route incoming phone calls in a professional and timely manner
Manage email inboxes and coordinate client communication
Schedule appointments and maintain calendars using Outlook
Scan, organize, and maintain digital client records and documentation
Receive and distribute mail, packages, and office deliveries
Communicate with clients via phone, email, and virtual platforms
Prepare and send documents for electronic signature using Adobe Sign
Maintain office organization, supplies, and general office upkeep
Assist with bookkeeping tasks in QuickBooks Online
Enter financial transactions including invoices, bills, deposits, and checks
Support account reconciliations and transaction reviews
Maintain Excel spreadsheets for bookkeeping and tax tracking
Assist with month-end close activities and tax preparation support
Requirements:
1+ years of administrative or office support experience
Exposure to bookkeeping or accounting support preferred
Proficiency in Microsoft Excel (sorting, filtering, basic formulas)
Proficiency in Microsoft Outlook (email and calendar management)
QuickBooks Online is required
Strong communication skills with a professional, client-facing demeanor
High attention to detail and accuracy
Strong organizational and multitasking abilities
Ability to work in a deadline-driven, fast-paced environment
