We are looking for an organized administrative team member to support daily office operations in Miami, Florida. This Long-term Contract position is ideal for someone who can balance clerical responsibilities, document management, and communication tasks with accuracy and professionalism. The role will involve providing dependable administrative support, maintaining records, and helping the office run efficiently in a fast-paced environment.
Job Responsibility
Enter and track work orders accurately while keeping related records current and easy to access
Organize, file, and retrieve documents, reports, and other business records as needed by the team
Create and format correspondence, memos, invoices, and other administrative documents with a high level of accuracy
Respond to routine inquiries and direct communications to the appropriate contacts in a timely manner
Support day-to-day office operations by managing clerical tasks such as scanning, photocopying, and document distribution
Maintain office recordkeeping systems and assist with basic administrative reporting and bookkeeping-related tasks
Help coordinate office supply needs and ensure essential materials are available for daily operations
Requirements
2-4 years of experience in an administrative assistant, executive assistant, or similar office support role
Strong organizational skills with careful attention to detail and the ability to keep work accurate and well prioritized
Ability to manage multiple assignments at once while meeting deadlines with minimal supervision
Clear written and verbal communication skills for handling correspondence and routine office interactions
Proficiency with Microsoft Office applications, including document creation, spreadsheets, and email
High school diploma or equivalent required
Comfortable learning new processes quickly and adapting to changing administrative needs
