Job Description

Beacon Hill is hiring a contract Administrative Assistant to support a growing energy company in Evansville, IN. This position plays a critical role in helping the leadership team stay organized and efficient.

Job Responsibility

  • Provide daily administrative support to leadership and cross-functional teams within a fast-paced energy environment
  • Manage calendars, schedule meetings, and coordinate logistics for internal and external stakeholders
  • Prepare, format, and distribute reports, presentations, and internal communications
  • Maintain organized filing systems (electronic and physical) for contracts, project documentation, and compliance records
  • Support project coordination efforts, including tracking timelines, deliverables, and follow-ups
  • Handle incoming calls, emails, and correspondence with professionalism and urgency
  • Assist with invoicing, expense tracking, and basic data entry related to operational activities
  • Coordinate travel arrangements, meeting agendas, and event planning as needed
  • Serve as a liaison between departments to ensure smooth communication and workflow
  • Order office supplies and support general office operations to maintain an efficient workplace

Requirements

  • Prior administrative experience preferably within energy, utilities, engineering, or a related industry
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy in all work
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Ability to handle confidential information with discretion
  • Comfortable working in a fast-paced, team-oriented environment
  • Associate or bachelor's degree preferred but not required
