Beacon Hill is hiring a contract Administrative Assistant to support a growing energy company in Evansville, IN. This position plays a critical role in helping the leadership team stay organized and efficient.
Job Responsibility
Provide daily administrative support to leadership and cross-functional teams within a fast-paced energy environment
Manage calendars, schedule meetings, and coordinate logistics for internal and external stakeholders
Prepare, format, and distribute reports, presentations, and internal communications
Maintain organized filing systems (electronic and physical) for contracts, project documentation, and compliance records
Support project coordination efforts, including tracking timelines, deliverables, and follow-ups
Handle incoming calls, emails, and correspondence with professionalism and urgency
Assist with invoicing, expense tracking, and basic data entry related to operational activities
Coordinate travel arrangements, meeting agendas, and event planning as needed
Serve as a liaison between departments to ensure smooth communication and workflow
Order office supplies and support general office operations to maintain an efficient workplace
Requirements
Prior administrative experience preferably within energy, utilities, engineering, or a related industry
Strong organizational skills with the ability to manage multiple priorities and deadlines
Excellent written and verbal communication skills
High attention to detail and accuracy in all work
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Ability to handle confidential information with discretion
Comfortable working in a fast-paced, team-oriented environment
Associate or bachelor's degree preferred but not required
