Job Responsibility:
Own day-to-day office operations, ensuring a seamless, productive environment (mail/package handling, supplies, vendor management, and ordering optimization)
Oversee office upkeep, including clean and organized office and kitchen spaces
manage the external cleaning service to maintain high standards
Serve as the main liaison with building management and external vendors
Proactively identify maintenance needs and office improvements
source quotes and recommend solutions
Support safety and security initiatives, maintain supplies, and reinforce policies and best practices
Act as the primary point of contact for employees and internal teams in the Atlanta office
Foster a welcoming, service-oriented office culture
Plan and execute office events (e.g., weekly lunches, team meetings, social gatherings, annual retreats)
occasional travel or after-hours support may be required
Coordinate customer and guest visits, including on-site hosting support
Assist with internal communications and distribution as needed
Support Global Administration and broader Corporate Services initiatives
Coordinate charitable initiatives, including NGO partnerships and volunteer activities
Provide administrative support to leadership as needed
Manage financial documentation (invoices, payment requests), partner with Finance, and track budget spend
Support contract coordination and management
Track and follow up on requests to ensure timely completion and clear communication
Requirements:
5+ years’ experience working as an administrative assistant in a corporate environment
Associate's degree or equivalent experience
Previous experience at a global organization
Ability to exercise good judgment in situations, with strong written and verbal communication, administrative, and organizational skills
Ability to maintain a high level of discretion, confidentiality, and good judgment to handle all sensitive matters
Ability to anticipate shifts in priorities, the flow of information, or changes while maintaining professionalism under simultaneous demands for attention
Ability to work flexible hours/overtime as dictated by the needs of business (projects and meetings)
Exemplary planning, organization, and time management skills
Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
