Job Description:

We are looking for a meticulous Administrative Assistant to support daily operations in a fast-paced environment. This is a Contract to Permanent position based in New Mexico, Texas, offering an opportunity to grow within the organization. The role involves managing administrative tasks, ensuring efficient communication, and maintaining compliance with industry standards.

Job Responsibility:

  • Coordinate and manage schedules, appointments, and meetings to ensure efficient time management
  • Handle inbound and outbound calls, providing excellent customer service and addressing inquiries promptly
  • Maintain and organize loan files, ensuring accurate data entry and compliance with industry regulations
  • Prepare and edit documents using Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • Communicate effectively through email correspondence, ensuring clear and precise interactions
  • Track deadlines and follow up on loan application processes to ensure timely completion
  • Support team members by managing administrative workflows and prioritizing tasks effectively
  • Ensure compliance with mortgage industry standards while handling sensitive information with confidentiality
  • Collaborate with clients and staff to facilitate smooth communication and information sharing

Requirements:

  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • Strong organizational and time management skills, with the ability to handle multiple tasks simultaneously
  • Excellent written and verbal communication skills for interacting with clients and team members
  • Knowledge of mortgage industry terminology and regulations is preferred
  • High attention to detail to ensure accuracy in documentation and data entry
  • Experience in customer service, with a focus on delivering quality and client-centered solutions
  • Ability to manage schedules, appointments, and deadlines effectively
  • Familiarity with handling inbound and outbound calls in a structured and efficient manner
