We are looking for a detail-oriented Administrative Assistant to join our team in Ann Arbor, Michigan. The selected candidate will play a key role in supporting organizational operations and ensuring seamless communication across departments. The ideal candidate will bring strong administrative skills, excellent organizational capabilities, and proficiency in tools like Excel, HubSpot, and Salesforce. Hours are M-F 9am - 5pm. Pay up to $22/hr. This role is mainly remote.
Job Responsibility:
Monitor and manage the Education & Credentialing inbox, ensuring timely responses and appropriate routing of inquiries
Address frequently asked questions using pre-approved templates and escalate urgent or member-impacting issues as needed
Oversee intake and tracking of education proposals, maintaining accurate records in spreadsheets and software systems
Prepare summary reports and documentation for leadership review, ensuring all decisions and rationale are clearly recorded
Coordinate logistics for session development, including faculty agreements, communications, and preparation of materials for marketing
Track milestones for session planning and maintain up-to-date records in cross-system trackers
Create and distribute voucher codes, monitoring their usage and ensuring compliance with organizational policies
Reconcile enrollments and revenue reports, flagging any discrepancies or missing data for follow-up
Schedule and manage faculty meetings, contracts, and deadlines, ensuring all logistics are handled efficiently
Maintain monthly budget trackers and provide regular updates to finance teams, highlighting variances or areas that need attention
Requirements:
Must be intermediate in Excel, intermediate, Office programs
At least 2 years of experience in administrative support or coordination roles
Proficiency in Microsoft Excel and other Office programs at an intermediate level
Strong organizational skills with the ability to manage multiple tasks and deadlines effectively
Excellent written and verbal communication skills
Experience in tracking and reconciling data across multiple systems
Ability to maintain accurate documentation and version control for reports and proposals
Attention to detail and a proactive approach to identifying and resolving discrepancies
Nice to have:
Experience with HubSpot/Salesforce is highly preferred
Familiarity with HubSpot and Salesforce platforms is highly preferred
