We are looking for an organized Administrative Assistant to support onsite operations in Camden, New Jersey. This Long-term Contract position will coordinate meeting and catering logistics, maintain a detail-oriented front-office presence, and provide dependable administrative support across daily activities. The ideal candidate brings strong hospitality or office coordination experience, communicates confidently with internal and external contacts, and is comfortable managing multiple priorities in a fast-paced environment.
Job Responsibility
Coordinate meeting and event arrangements, including room preparation, supply setup, and post-event breakdown
Serve as a primary point of contact for inbound calls, visitors, and general office inquiries while maintaining a welcoming environment
Organize catering requests by working with vendors, internal teams, and building management to ensure smooth delivery and service
Prepare conference and meeting spaces with necessary items such as beverages, serving materials, and presentation support resources
Perform administrative tasks such as scheduling, document handling, filing, and maintaining accurate office records
Enter and update business information in internal systems with a high level of accuracy and attention to detail
Support daily office operations by monitoring shared spaces, coordinating logistics, and assisting with team needs as they arise
Use Microsoft Office tools to create correspondence, manage calendars, track information, and support routine reporting
Requirements
Previous experience in administrative support, office coordination, reception, or a related business support role
Background in hospitality, hotel operations, catering support, or meeting coordination is strongly preferred
Proficiency with Microsoft Office applications and confidence using computer-based systems for scheduling and record management
Ability to handle inbound calls and in-person interactions with strong customer service skills
Accurate data entry skills with careful attention to organization and detail
Flexibility to work Monday through Friday with availability for early event setup or extended coverage when business needs require it
Strong communication and multitasking abilities with a proactive approach to supporting office and event operations
