Job Responsibility

  • Support multiple team members with day-to-day administrative coordination, ensuring schedules, communications, and routine tasks are handled efficiently
  • Oversee busy calendars by arranging meetings, resolving scheduling conflicts, and confirming all related logistics in advance
  • Coordinate domestic and/or international travel plans, including transportation, lodging, and itinerary details
  • Prepare and submit expense documentation accurately, track receipts, and follow up on reimbursements within required timelines
  • Maintain office supply levels and help ensure shared equipment remains stocked, organized, and operational
  • Contribute to special assignments such as event coordination, operational support activities, and administrative process improvements
  • Provide coverage for other administrative team members when needed to help maintain consistent support across the office
  • Assist with front-office and communication tasks, including handling inbound calls, greeting visitors, and supporting general office administration
  • Perform data entry and record upkeep with a high degree of accuracy and attention to detail

Requirements

  • Bachelor’s degree required
  • At least 3 years of experience in an administrative support role, preferably assisting senior leaders in a fast-paced, detail-focused environment
  • Strong written and verbal communication skills with the ability to interact effectively across teams
  • Excellent organizational skills and close attention to detail
  • Ability to manage multiple priorities, adapt to changing demands, and meet deadlines consistently
  • Demonstrated problem-solving ability and a proactive approach to ownership of assigned work
  • Strong relationship-building skills and the ability to work well with a range of stakeholders
  • Proficiency with Microsoft Office Suite, along with comfort handling general administrative office tasks, inbound calls, and data entry
