This contract position offers an exciting opportunity to support our office operations and ensure smooth workflow during a maternity leave period. The ideal candidate will be detail-oriented, organized, and capable of handling a variety of administrative tasks with efficiency.
Job Responsibility:
Manage and verify the processing of new listings and sales, ensuring data is accurately entered into the system and purchase agreements are prepared on time
Maintain accurate records of sold properties and generate monthly reports to track office performance
Calculate advertising costs, proof advertisements, and coordinate submissions for local publications
Supervise and schedule office personnel, providing training, motivation, and performance evaluations
Act as a liaison between staff, managers, and sales associates to maintain effective communication
Monitor sales transactions for compliance, ensuring all necessary documentation such as abstracts, title evidence, and mortgage records are correctly ordered and completed
Coordinate the creation of marketing materials, including flyers, brochures, and other collateral for special events
Provide backup support for team members as needed to ensure uninterrupted operations
Assist with department budget preparation and administration, including salary considerations and merit reviews
Handle additional responsibilities as assigned to support the needs of the office
Requirements:
Proven experience in administrative roles, preferably within the real estate or sales industry
Strong proficiency in data entry and the ability to manage multiple systems with accuracy
Excellent communication skills, including the ability to answer inbound calls and manage correspondence professionally
Familiarity with escrow accounts and sales transaction compliance processes
Demonstrated ability to recruit, train, and supervise office personnel effectively
Adept in creating marketing materials, such as brochures and advertisements
Highly organized, with the ability to prioritize tasks and meet deadlines
Proficiency in using office software and tools to support administrative functions
