Job Description:

We are looking for an Administrative Assistant to support the Chief of Staff in a fast-paced university environment. This is a long-term contract position located in Atlanta, Georgia, offering an excellent opportunity to contribute to the efficient operation of the Office of the President. The ideal candidate will handle a variety of administrative tasks, manage sensitive information, and collaborate with internal and external stakeholders.

Job Responsibility:

  • Maintain and organize the Chief of Staff's schedule, including advanced calendaring and preparation for meetings
  • Assist with drafting and editing correspondence, such as letters and memoranda, on behalf of the office
  • Coordinate travel arrangements and itineraries in collaboration with the Senior Executive Assistant
  • Schedule and facilitate internal and external meetings, including those held in the President’s boardroom
  • Support the planning and execution of internal meetings, conference calls, and campus-wide events as needed
  • Manage daily office operations, including ordering supplies and coordinating with contracted staff
  • Handle vendor relations and process payment submissions to Accounts Payable on behalf of the office
  • Address and resolve complex student concerns by analyzing data and evaluating diverse solutions
  • Collaborate with the Senior Executive Assistant to maintain the daily workflow of the Office of the President
  • Ensure confidentiality and accuracy when dealing with sensitive information and communications

Requirements:

  • Proven experience in administrative support, preferably in a higher education or executive setting
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Proficiency in drafting and editing detailed correspondence
  • Familiarity with scheduling software and calendar management tools
  • Excellent interpersonal and communication skills for interacting with diverse stakeholders
  • Ability to handle confidential information with discretion and professionalism
  • Competence in managing vendor relations and processing payments
  • Analytical skills to address and resolve complex issues effectively
