We are seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations, customer service, and sales support activities in the south metro, Minnesota area. This role is ideal for someone who is comfortable managing multiple priorities, communicating with external partners, and working in a compliance-driven environment. The Administrative Assistant will serve as a key point of contact to confirm required documentation is complete and in place. The right candidate will be professional, customer-focused, and confident enough to handle challenging conversations with tact and appropriate assertiveness when needed.
Job Responsibility
Provide customer service support via phone, email, and web-based platforms
Receive and manage inbound calls to verify paperwork and documentation status
Communicate with cross functional teams to ensure required information is accurate and complete
Follow up on missing or incomplete paperwork in a timely and professional manner
Prepare, edit, and maintain documents using Microsoft Word, Excel, and Outlook
Manage calendars, email correspondence, data entry, and customer records
Create reports, spreadsheets, and written communication as needed
Assist with sales support activities, including preparing proposals, quotes, and follow-up communications
Update and maintain records within web-based applications and CRM systems
Track and support compliance-related documentation and internal processes in a highly regulated business environment
Escalate more complex or sensitive issues as needed while maintaining professionalism and urgency
Provide general administrative and clerical support to help ensure efficient daily operations
Requirements
Proficiency in Microsoft Office, especially Excel, Word, and Outlook
Experience using web-based platforms and CRM systems
Strong verbal and written communication skills
Excellent organizational skills and strong attention to detail
Ability to multitask, prioritize, and work effectively in a fast-paced environment
