Job Description:

The Administration Support role is integral in providing comprehensive support to the Training Manager and ensuring the seamless operation of daily administrative tasks within the organization. The incumbent is responsible for various tasks including the coordination of the start and end of all courses, cross-checking and maintaining records, conducting course moderations, and arranging specialized training. As the day-to-day customer focal for our customer, the incumbent is expected to prioritize their daily duties as discussed in their one-on-one meeting with our customers and Training manager to meet customer expectations and requirements in accordance with our policy manual, and established processes. The Administration Support must consistently offer support to their colleagues and be willing to adjust their accountabilities as required to meet workload demands.

Job Responsibility:

  • Start and end of all courses, including document collection, scheduling, updating files and recording keeping and issuing certificates
  • Cross-check files and keep records
  • Conduct course moderations
  • Arrange specialized training as required
  • Prioritize daily duties to meet customer expectations and requirements according to the policy manual, and processes
  • Offer support to colleagues when required
  • Respond to all internal and customer inquiries within 24 hours
  • Always ensure reachability during working hours through Teams message, call, phone call or text
  • Respond to all contacts within one hour of receipt
  • Complete all work responsibilities as defined by the ICD document, company policy manual, and job description with minimal reminders, or within 24 hours of receiving a reminder from the Training Manager
  • Consistently meet customer requirements, as evidenced by positive feedback and minimal complaints
  • Achieve a customer satisfaction rate with no more than one complaint per month
  • Promptly address and resolve any customer complaints within 24 hours to the customer's satisfaction
  • Answer all internal and external audit findings within the required time frame with a goal of having no repeat findings
  • Regularly track and record the progress of audit findings answered within the stipulated time and number of repeat findings

Requirements:

  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks and meet deadlines
  • Familiarity with office administration processes and procedures
  • Ability to work well under pressure in a fast-paced environment
  • Strong customer service orientation
  • Bilingual (French and English) to collaborate with client/coworkers
