We are looking for an Administrative Assistant to join a growing team in Silver Spring, Maryland in a contract-to-permanent capacity. This role is ideal for someone who is highly organized, communicates professionally, and can keep daily office operations running smoothly. The position supports administrative workflows through meeting coordination, documentation, and mail handling while providing dependable service to internal staff and external clients.
Job Responsibility:
Manage outgoing and incoming mail by sorting deliveries, preparing items for shipment, and ensuring correspondence reaches the correct recipients
Record key discussion points during meetings and produce clear, accurate meeting minutes for distribution afterward
Prepare client shipping labels using provided airway bill information and coordinate timely dispatch of materials
Support front-office activities by answering calls, relaying messages, and responding courteously to routine inquiries
Help organize meetings, appointments, and schedules to keep administrative activities on track
Maintain administrative records and perform data entry tasks with accuracy and attention to detail
Assist with general office coordination, including handling building mailbox-related tasks and supporting day-to-day operational needs
Requirements:
Previous experience in an administrative, office support, or receptionist-focused role
Strong written communication skills with the ability to capture notes and prepare clear meeting minutes
Comfortable managing mail distribution, shipping tasks, and other routine clerical responsibilities
Ability to answer inbound calls courteously and handle inquiries using a multi-line phone system
Proficiency in data entry and general administrative support functions with strong attention to detail
Demonstrated organizational skills with the ability to coordinate meetings, schedules, and appointments
Reliable interpersonal skills and a detail-oriented approach when interacting in person, by phone, and through written communication
