We are looking for an Administrative Assistant to join a financial services organization in Austin, Texas on a Contract basis. In this onsite role, you will support post-closing mortgage operations by helping maintain accurate records, coordinating documentation, and keeping files moving within required deadlines. This opportunity is well suited for someone who is highly organized, comfortable handling detailed administrative tasks, and able to work effectively in a fast-paced environment.
Job Responsibility
Organize, index, and maintain mortgage files so records are prepared correctly for collateral handling and final delivery
Track missing or outstanding items and follow up with internal departments, title partners, and settlement contacts to obtain required documents
Scan, upload, and update records in designated systems while ensuring file integrity and proper document retention
Prepare collateral packages for shipment to custodians and support timely delivery to investors within established service deadlines
Communicate with processing, closing, and quality control teams to resolve documentation issues and keep post-closing activities on schedule
Monitor trailing documents such as recorded instruments, title policies, and lien-related paperwork to ensure loan files are fully completed
Provide general administrative support through data entry, document handling, inbound call support, and office coordination as needed
Requirements
At least 1 year of experience in mortgage operations, loan administration, post-closing, or a related financial services support function
High school diploma or equivalent required
Working knowledge of loan closing documentation and post-closing workflows
Strong attention to detail with the ability to manage large volumes of documents accurately and efficiently
Proficiency with Microsoft Outlook, Word, Excel, and SharePoint
Ability to handle sensitive and confidential information with professionalism and discretion
Effective communication and organizational skills, with the ability to coordinate across multiple teams and external partners
Experience supporting administrative office tasks, data entry, receptionist-style duties, or inbound phone support is helpful
