We are looking for a detail-oriented Administrative Assistant to join our team in Los Angeles, California. This long-term contract position requires exceptional organizational skills and the ability to manage administrative tasks effectively in a fast-paced environment. The ideal candidate will play a key role in ensuring smooth operations and supporting various office functions.
Job Responsibility:
Process and organize incoming and outgoing mail to maintain efficient communication workflows
Manage inventory purchasing, including tracking supplies and placing orders as needed
Accurately enter purchase orders into the system and monitor shipments to ensure timely deliveries
Reconcile invoices and maintain accurate records of financial transactions
Ensure all documentation and records are properly organized and up-to-date
Handle receptionist duties, including answering inbound calls and assisting visitors
Perform data entry tasks with precision to support office operations
Collaborate with team members to address administrative needs and streamline processes
Monitor and report on inventory levels to avoid shortages or delays
Assist in maintaining a clean and organized workspace for optimal productivity
Requirements:
At least 2 years of experience in an administrative role, preferably in a fast-paced environment
Proficiency in handling administrative tasks, including data entry and receptionist duties
Strong organizational and multitasking abilities to manage multiple responsibilities effectively
Familiarity with purchase order systems and inventory management processes
Ability to reconcile invoices and maintain accurate financial records
Excellent verbal and written communication skills
Spanish language proficiency is a plus
Experience in manufacturing environments is advantageous
Strong attention to detail and commitment to maintaining high-quality standards
