We are looking for a detail-oriented Administrative Assistant to support daily office operations for a Contract position in Hopewell, Virginia. This role is ideal for someone who can keep schedules organized, maintain accurate records, and provide responsive administrative support in a fast-paced rental and leasing environment. The successful candidate will help coordinate documentation, update systems and reports, and communicate professionally with staff and participants.
Job Responsibility:
Coordinate calendars, arrange appointments, and provide day-to-day administrative support to office staff
Maintain both digital and paper records, ensuring participant files are complete, organized, and handled according to program guidelines
Enter and update information in Yardi or comparable housing management software with a high degree of accuracy
Assist with document preparation and processing related to recertifications, interim changes, and routine correspondence
Monitor reports, tracking logs, and workflow status to help keep departmental activities on schedule
Answer inbound calls, greet visitors, and support front-desk and receptionist functions as needed
Perform general office tasks such as filing, data verification, and document distribution to support efficient operations
Requirements:
Previous experience in administrative support, office coordination, or a similar clerical role
Background in affordable housing, property management, rental services, or related program administration is strongly preferred
Working knowledge of Yardi or similar property or housing software is highly desirable
Strong data entry skills with consistent attention to accuracy and detail
Ability to manage multiple assignments, stay organized, and follow established procedures carefully
Effective written and verbal communication skills, along with a detail-focused customer service approach
Experience handling inbound calls, reception duties, and general administrative office responsibilities
