We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in West Palm Beach, Florida. In this role, you will play a key part in ensuring smooth office operations through effective communication, organization, and administrative support. Job Responsibility:
Respond promptly to inbound calls and address client inquiries with attention to detail
Schedule and coordinate meetings with clients, ensuring all appointments are accurately documented
Perform data entry tasks with precision, maintaining up-to-date records and databases
Provide reception support, including greeting visitors and managing office communications
Assist with general administrative duties, such as filing, organizing documents, and handling correspondence
Check in with previous clients to maintain relationships and address any follow-up needs
Track and manage schedules to ensure efficient time management for staff and clients
Support office operations by ordering supplies and maintaining inventory
Collaborate with team members to ensure tasks are completed on time and meet quality standards
Requirements:
Demonstrated experience in administrative assistance or a related role
Proficiency in answering inbound calls and managing client communications
Strong organizational skills with experience in scheduling and calendar management
Ability to perform data entry tasks accurately and efficiently
Familiarity with receptionist duties, including greeting visitors and handling correspondence
Excellent interpersonal skills with a customer-focused approach
Proficient in using office software and tools, including email and scheduling platforms
