We are looking for a highly organized and detail-oriented Administrative Assistant to join our team in Anaheim, California. In this role, you will provide essential support to the Property Manager, ensuring smooth operations and efficient management of administrative tasks. This is a long-term contract position with the potential for conversion based on performance.
Job Responsibility:
Assist the Property Manager in collecting overdue rent payments and other charges
Collaborate with legal counsel to provide accurate information for default letters and assist in their preparation
Process and code vendor invoices with precision and timeliness
Contribute to the initial preparation of various components for monthly reports
Keep service contracts for all properties updated and well-organized
Maintain current tenant and contractor lists to support seamless communication
Monitor and implement rental increases in coordination with accounting and the Property Manager
Respond promptly to inquiries and ensure the organization is equipped to handle emergencies effectively
Requirements:
At least 3 years of experience in administrative roles
Proficiency in Microsoft Office Suite, including strong Excel skills
Familiarity with Yardi or similar property management software
Exceptional organizational skills and attention to detail
Ability to work independently while following directions
Solid understanding of basic accounting procedures
Strong communication skills to handle inquiries and maintain effective relationships
Integrity, honesty, and a proactive approach to problem-solving
