We are looking for a detail-oriented Administrative Assistant to support daily office operations in Palmetto, Florida. This Long-term Contract position is ideal for someone who thrives in a fast-paced setting and can keep administrative processes organized and moving efficiently. The right candidate will bring strong coordination skills, accuracy in handling service-related documentation, and the ability to communicate effectively in both English and Spanish.
Job Responsibility
Manage the creation, update, and completion of service and work orders with a high level of accuracy and timeliness
Coordinate routine administrative activities that help keep office operations running smoothly each day
Monitor order progress, provide status updates, and work with internal teams to ensure information is current and complete
Organize files, records, and supporting documents so they remain easy to access and properly maintained
Perform general front-office and clerical tasks, including data entry, call handling, and receptionist support as needed
Respond to changing priorities by balancing multiple assignments while maintaining consistent attention to detail
Requirements
Previous experience in an administrative support or office coordination role
Hands-on QuickBooks experience is required
Experience processing, opening, and closing service or work orders
Bilingual communication skills are required, with Spanish and English strongly preferred
Strong organizational skills with the ability to maintain accurate records and documentation
Ability to manage multiple tasks effectively in a fast-paced, evolving work environment
Proficiency in administrative support activities such as inbound call handling, data entry, and general office assistance
