We are looking for a detail-oriented Administrative Assistant to join our team in Palo Alto, California. In this role, you will play a critical part in ensuring smooth and accurate patient registration processes, while maintaining high standards of customer service and compliance with legal and organizational policies. Job Responsibility:
Accurately register and process various patient types, ensuring all demographic and insurance information is obtained and documented
Collect and document patient co-pays, deductibles, and signatures on legal documents in compliance with policies
Scan and upload all relevant documentation into the organization's systems before the end of each shift
Maintain patient valuables and update notifications from clinical staff promptly, following department policies
Utilize online systems and payer websites to verify insurance eligibility and demographic information
Provide timely and appropriate customer service to patients, visitors, and clinical staff, ensuring a positive experience
Distribute notices of privacy practices and obtain visitor authorizations as required
Collaborate effectively with internal and external stakeholders, including clinical staff, law enforcement, and ambulance agencies
Attend department meetings, workshops, and training sessions to stay informed of updates and procedures
Ensure office equipment is operational and follow downtime procedures when necessary
Requirements:
High school diploma required
Associate degree preferred
Knowledge of a second language is an advantage
Ability to type at least 30 words per minute and efficiently navigate multiple computer programs
Strong verbal and written communication skills with a focus on delivering excellent customer service
Self-motivated with the ability to prioritize tasks and work independently
Familiarity with HIPAA regulations and legal documentation processes
Experience handling co-pays, deductibles, and insurance verification
Skilled in maintaining professionalism under pressure and resolving challenges effectively
Comfortable working in a team environment and assisting colleagues when needed
