We are looking for a detail-oriented Administrative Assistant to join our team in Tumwater, Washington. This part-time, contract position offers an opportunity to contribute to essential office operations while working approximately 20-24 hours per week. The ideal candidate will possess strong organizational skills, a proactive approach, and the ability to efficiently handle multiple administrative tasks.
Job Responsibility:
Utilize postage systems to handle outgoing mail and perform regular trips to the post office
Run reports to track property vacancies and ensure proper credit adjustments for vacant properties exceeding 30 days
Maintain spreadsheets to manage property payments and related billing information
Process mortgage payments verifying receipts
Enter rent payments and deposits into systems, ensuring accuracy and uploading positive pay files
Perform data entry tasks with precision to support office operations
Use AppFolio software to manage administrative and property-related processes
Create and update activity and audit reports as required
Handle inbound calls professionally and assist with receptionist duties
Coordinate bulk mailings and manage certified mail processes
Requirements:
At least 2 years of experience in an administrative role
Proficiency in AppFolio software and intermediate Excel skills
Familiarity with Google Suite and Microsoft Office applications
Strong organizational and time management abilities
Excellent communication skills, both verbal and written
Ability to handle sensitive data with discretion and accuracy
Experience with postage machines and mail handling processes
Attention to detail and a proactive approach to problem-solving
