We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in South Lake Tahoe, California. In this role, you will manage various administrative tasks to ensure smooth operations, including assisting residents, maintaining accurate records, and supporting financial processes. Job Responsibility:
Handle resident recertifications and interim recertifications, ensuring compliance with applicable regulations and requirements
Input and maintain resident data in Real Page/OneSite systems to ensure accuracy and completeness
Collect monthly rent payments, issue receipts, and monitor financial reports such as deposit summaries and tenant assistance records
Assist prospective residents by providing information, scheduling interviews, preparing leasing documentation, and calculating rent
Manage accounts receivable tasks, including processing payments, preparing Section 8 vouchers, and maintaining aging reports
Maintain detailed records of maintenance and unit-related activities, including serial numbers, repairs, and installations
Prepare and reconcile bank deposits and oversee petty cash transactions
Support the Administrator with budget-related tasks and data management as needed
Deliver administrative services to assist residents and ensure their needs are met effectively
Perform other assigned duties to support the smooth operation of the facility
Requirements:
At least 2 years of experience in administrative roles, preferably in assisted living or affordable property management environments
Proficiency in handling inbound calls and managing office-related administrative tasks
Skilled in data entry and maintaining accurate records
Familiarity with budget administration and financial processes
Experience working within assisted living residences or similar environments
Strong organizational and time-management skills
Preferably the ability to use Real Page/OneSite systems or similar platforms efficiently
Excellent communication and interpersonal abilities
