We are seeking an Administrative Assistant to join our small, dynamic team, specializing in copier and printer services. This role is essential to the smooth running of our operations, guaranteeing the accuracy of service contract invoicing and the rigorous management of supplies and equipment inventory. You will act as a central pivot point, ensuring data coordination between the service, sales, and administration teams.
Job Responsibility:
Generate and process invoices for service contracts, meter readings, supply orders, and repairs
Review service orders, parts usage, and labor entries to ensure accuracy prior to billing
Maintain up-to-date billing schedules for recurring services and managed print services
Coordinate with the Service Department to verify meter readings and parts usage
Track and manage the inventory of toners, parts, equipment, and supplies
Update and maintain client account records, equipment lists, and contract details
Assist service technicians with parts lookups, availability checks, and inventory documentation
Prepare reports on billing status, inventory movement, and usage trends
Requirements:
Experience in a similar role
Experience in invoicing, inventory management, or administrative work
High attention to detail and accuracy in data entry and documentation
Ability to prioritize tasks, meet deadlines, and communicate effectively with teams and clients
Comfortable working in a dynamic service environment
Excellent organizational and multitasking skills
Analytical and problem-solving abilities
Customer service orientation and strong sense of responsibility
Reliability and ability to work autonomously and as part of a team
Nice to have:
Experience in the copier/printer industry
Experience with a secure inventory or billing management software specific to the copier domain
