We are looking for a detail-oriented Administrative Assistant to support daily office operations in California. This is a Contract position suited for someone who brings strong organizational skills, a capable presence, and a responsive approach to customer service. The ideal candidate will help maintain efficient administrative processes, assist with financial data entry tasks, and provide dependable support across a busy office environment.
Job Responsibility:
Serve as a primary point of contact for residents, addressing questions and concerns in a timely and attentive manner
Enter invoices and complete routine data input with accuracy while supporting day-to-day administrative workflows
Assist with basic general ledger coding and help organize financial documentation for internal use
Maintain orderly records, update files, and ensure administrative information is accurate and easy to access
Prepare correspondence, trackers, and simple reports using Microsoft Office applications
Provide front office and clerical support, including phone coverage and reception-related duties as needed
Contribute to overall team efficiency by handling additional administrative assignments and office support tasks
Requirements:
At least 2 years of experience in an administrative assistant or office support role
Demonstrated ability to deliver detail-focused, service-oriented support in an office setting
Strong working knowledge of Microsoft Office Suite, including tools used for documents, spreadsheets, and communication
Comfort with technology and the ability to learn new software and internal systems quickly
Experience with invoice entry, data entry, or similar administrative recordkeeping tasks
High level of accuracy, organization, and attention to detail when managing multiple priorities
Nice to have:
Familiarity with Jonas software
Bi-lingual Spanish preferred
