Contract Administrative Assistant position for a client in Downtown Pittsburgh. This is a completely onsite contract opportunity till April. Hours are 7:45AM - 4PM.
Job Responsibility:
Oversee the daily operations of the school office, ensuring efficient, professional, and student-centered administrative support
Provide high-level clerical and administrative support to the School Principal with discretion, diplomacy, and strict adherence to confidentiality requirements
Serve as the primary point of contact for students, families, staff, vendors, visitors, and job applicants, delivering responsive and professional customer service
Accurately enter, maintain, and manage data within the student information system and other administrative platforms
Maintain compliance with all school policies, procedures, and professional standards as outlined in the Staff Handbook and applicable regulations
Support a welcoming, organized, and compliant office environment that reflects the school’s mission and values
Maintain strict compliance with confidentiality and data-privacy policies
Communicate effectively and professionally with all stakeholders (students, families, staff, vendors, and community partners) through written, verbal, and electronic communication
Establish and maintain positive, cooperative working relationships across the school community
Ensure smooth and efficient front office operations, including task completion, workflow coordination, and daily office readiness
Maintain, organize, and replenish office supplies, equipment, copiers, postage systems, supply closets, and front-desk areas
Perform clerical and administrative duties such as document preparation, filing, mail processing, scheduling, phone and message management, visitor reception, and staff/student support
Respond to inquiries and requests promptly, routing matters tactfully and appropriately
Support student attendance operations, including sign-in/out procedures, tardy and dismissal documentation, attendance records, and daily logs
Collaborate with the Attendance Officer and Attendance Team, including contacting families regarding absences and attending attendance meetings
Process and maintain student records accurately and in a timely manner
Communicate student-related legal documentation (e.g., custody orders) to Administration in compliance with legal requirements
Coordinate transportation communication with the bus company for calendar differences and early dismissals
Prepare for and manage Learning Partnership meetings, including maintaining organized documentation, verifying parent participation, checking in families, notifying teachers of arrivals, and updating contact information
Maintain and update lobby communications and message boards
Promote a positive school climate by initiating supportive interactions, fostering teamwork, and modeling professionalism
Support school-wide initiatives, including PBIS implementation and reinforcement of P.A.T.H. expectations
Escalate student concerns to appropriate staff (Student Support, Counseling, Security, or Administration) as needed
Perform additional duties as assigned by the CEO/Principal
