We are looking for an organized and detail-oriented Administrative Assistant to join our team in Dayton, Ohio. Job Responsibility:
Coordinate and maintain schedules for multiple team members, ensuring appointments and meetings are seamlessly managed
Handle incoming calls, providing a welcoming and attentive experience while directing inquiries to appropriate team members
Maintain and organize client files, ensuring all documents are accurately stored and easily accessible
Assist with document management tasks, including uploading and maintaining files in the firm’s database
Schedule and confirm client appointments, ensuring all details are accurately communicated
Manage the firm's master calendar, keeping track of deadlines, meetings, and events
Support client communications by preparing and sending correspondence, such as sympathy cards and other mailings
Organize meetings and facilitate connections between team members for calls and discussions
Provide general administrative support to ensure smooth day-to-day operations
Requirements:
Minimum of 5 years of experience in administrative roles, preferably in a detail-oriented services or legal environment
Exceptional organizational skills with a keen eye for detail
Proficiency in managing schedules and calendars using tools like Outlook
Strong communication skills and a client-focused approach
Ability to handle multiple priorities and meet deadlines in a dynamic work setting
Familiarity with document management systems and willingness to learn new technologies
Experience with customer service, ensuring clients feel valued and supported
Reliable and adaptable, with a proactive attitude towards problem-solving
