We are looking for a detail-oriented Administrative Assistant to join our team on a long-term contract basis. Based in Irvine, California, this role is vital in ensuring smooth day-to-day operations and supporting team members through efficient administrative tasks. The ideal candidate will have strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving.
Job Responsibility:
Manage incoming and outgoing calls using a multi-line phone system, ensuring all inquiries are handled with care and attention
Provide exceptional customer service by addressing client needs and resolving issues promptly
Perform accurate data entry tasks to maintain records and databases
Organize and manage files to ensure easy access and efficient workflow
Coordinate schedules and arrange appointments for team members
Draft and respond to email correspondence in a timely and thorough manner
Utilize Microsoft Office applications, including Excel, Outlook, and Word, to complete administrative tasks effectively
Collaborate with team members to support operational needs and ensure deadlines are met
Maintain a welcoming and organized front desk environment
Assist with additional administrative duties as required to support the team
Requirements:
MUST HAVE SALESFORCE EXPERIENCE
Proficiency in using Microsoft Office tools, including Excel, Outlook, and Word
Strong organizational and file management skills
Excellent interpersonal and communication abilities
Ability to handle a multi-line phone system with professionalism
