We are seeking a detail-oriented and proactive Administrative Assistant with hands-on experience in the manufacturing industry to support our operations team. Job Responsibility:
Provide administrative support to the operations and manufacturing teams, including scheduling meetings, managing calendars, and preparing reports
Assist with manufacturing-specific tasks such as tracking production schedules, coordinating with suppliers, and maintaining inventory records
Handle correspondence, including emails, phone calls, and document preparation related to manufacturing orders and compliance
Organize and maintain filing systems for manufacturing documentation, blueprints, and quality control records
Support data entry and analysis for production metrics using tools like Microsoft Excel or ERP systems
Coordinate travel arrangements, event planning, and office supply procurement with a focus on cost-efficiency in a manufacturing context
Collaborate with cross-functional teams to ensure smooth workflow between administrative and production functions
Perform other duties as assigned to support overall business operations
Requirements:
High school diploma or equivalent required
Associate's or Bachelor's degree in Business Administration, Manufacturing, or a related field preferred
At least 2-3 years of administrative experience, with a strong emphasis on roles within manufacturing environments (e.g., production facilities, supply chain, or quality assurance)
Proven knowledge of manufacturing processes, terminology, and best practices (e.g., lean manufacturing, inventory control, or safety protocols)
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with manufacturing software (e.g., ERP systems like SAP or QuickBooks)
Excellent organizational, communication, and multitasking skills
Ability to work independently and as part of a team in a dynamic manufacturing setting
Strong attention to detail and problem-solving abilities
Nice to have:
Experience in equipment manufacturing or related sectors
Knowledge of regulatory compliance in manufacturing (e.g., OSHA standards)
Bilingual abilities (English/Spanish) are a plus
