We are looking for an Administrative Assistant to support daily front office operations for an education-focused organization in Schenectady, New York. This Contract position plays an important role in keeping administrative processes organized, welcoming visitors, and ensuring timely communication with families and staff. The ideal candidate is comfortable handling clerical tasks, managing schedules, and maintaining accurate office records in a fast-paced environment.
Job Responsibility
Support the main office with day-to-day administrative activities to help maintain smooth operations
Prepare, organize, and process documentation with a strong focus on accuracy and completeness
Greet visitors upon arrival, manage sign-in procedures, and direct guests appropriately
Respond to parent inquiries professionally and provide clear, timely updates or information
Generate routine reports and compile data for office and administrative needs
Coordinate calendars, appointments, and meeting schedules to support staff and office priorities
Answer incoming calls and assist with general reception coverage as needed
Requirements
Experience in administrative support, office coordination, or a similar clerical role
Ability to manage inbound calls, greet visitors, and provide attentive front desk support
Strong data entry skills with careful attention to detail and accuracy
Proficiency in handling paperwork, maintaining records, and organizing office documents
Effective verbal and written communication skills for interacting with parents, visitors, and staff
Ability to prioritize multiple tasks and remain organized in a busy office setting
Previous experience in an education or school office environment is preferred
