We are looking for a detail-oriented Administrative Assistant in Old Orchard Beach, Maine. This fully onsite role offers a Contract opportunity for someone who enjoys organizing information, coordinating documentation, and providing responsive service to internal teams and the public. The position works approximately 30 hours per week and plays an important part in keeping daily administrative processes accurate, timely, and well managed.
Job Responsibility
Prepare and format meeting agendas, official minutes, correspondence, notices, and other administrative documents for boards, committees, and department staff
Enter, update, and maintain records in office systems to support reporting, document tracking, and daily clerical activities
Provide administrative support to planning and code enforcement personnel by helping assemble drafts of ordinances, procedural materials, and related documentation
Organize and manage both digital and paper filing systems to ensure records are complete, accessible, and properly maintained
Greet and assist residents, applicants, and visitors with questions related to permits, forms, and office procedures
Process permit-related information by reviewing submissions for completeness and recording details in the appropriate databases
Support grant-related administrative tasks, including document preparation, record maintenance, and follow-up coordination
Answer inbound calls, route inquiries to the appropriate department contacts, and assist with front-desk and general office coverage
Take on additional clerical and administrative assignments as needed to support departmental priorities
Requirements
Prior experience in administrative support, office coordination, or a similar clerical role
Strong ability to create, edit, and organize documents such as meeting materials, letters, and formal records
Proficiency with data entry and general computer-based office tasks, including word processing and file management
Comfortable handling inbound calls, assisting visitors, and providing attentive customer service in an office setting
Ability to manage multiple priorities with accuracy while maintaining organized electronic and physical records
Clear written and verbal communication skills, with attention to detail in preparing public-facing and internal documents
Availability to work onsite in Old Orchard Beach, Maine for approximately 30 hours per week
