We are looking for a detail-oriented Administrative Assistant to join our team in Salinas, California. In this role, you will provide bilingual administrative support while ensuring the smooth operation of office procedures. This is a long-term contract position, offering an opportunity to work in a dynamic environment where organizational skills and multitasking abilities are highly valued.
Job Responsibility:
Provide comprehensive administrative support, including preparing correspondence, maintaining filing systems, and managing databases
Assist administrators with tasks related to their areas of responsibility, ensuring efficient coordination of office activities
Prepare and distribute meeting agendas, transcribe minutes, and compile reports as required
Maintain calendars, schedule appointments, and organize travel arrangements for administrators and staff
Operate and troubleshoot standard office equipment, such as computers, scanners, and copiers
Translate documents and correspondence into Spanish, ensuring clear communication with students, parents, and community members
Compile and post statistical data, support budget development, and process invoices for payment
Train personnel on clerical processes and cross-train staff to perform critical functions
Research and gather information needed for compliance, payroll reports, and other administrative tasks
Assist in preparing materials and agendas for board meetings and other special projects as assigned
Requirements:
Proven experience as an administrative assistant, with a minimum of three years in a similar role
Bilingual proficiency in Spanish and English, both written and verbal
Strong organizational and clerical skills, with the ability to prioritize tasks effectively
Familiarity with standard office equipment and software, including word processing and data entry tools
Excellent communication skills, capable of interacting professionally with staff, students, and community members
Ability to work independently and manage multiple responsibilities simultaneously
Knowledge of basic budgeting and payroll processes is preferred
High school diploma or equivalent
