Job Description

We are looking for a highly organized and detail-oriented Administrative Assistant to join our team in Morris Plains, New Jersey. This Contract to permanent position is ideal for someone with strong multitasking abilities and a customer-focused mindset. You will play a key role in ensuring smooth office operations while providing exceptional support to both clients and team members.

Job Responsibility

  • Welcome clients with a detail-oriented approach and manage front desk operations efficiently
  • Organize, scan, and compile financial documents to maintain accurate records
  • Prepare and send invoices to clients in a timely manner
  • Assist clients by explaining tax return details, including refunds and payment obligations
  • Deliver outstanding customer service by addressing client inquiries and ensuring satisfaction
  • Review credit card statements to identify discrepancies and ensure accurate documentation
  • Handle incoming client calls promptly and professionally
  • Follow up with clients as necessary through phone and email to ensure timely responses and resolve outstanding matters

Requirements

  • A minimum of 2 years of experience in administrative support or a related role
  • Proficiency in administrative tasks such as data entry, answering calls, and managing office operations
  • Strong organizational skills with attention to detail and the ability to multitask effectively
  • Excellent communication and interpersonal skills for providing top-notch client service
  • Experience with receptionist duties, including managing front desk activities
  • Familiarity with financial documents and processes, such as invoicing and tax-related assistance
  • Previous experience working in a Financial industry a plus
