We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis. This role is fully remote and part time. In this role, you will play a pivotal part in maintaining financial accuracy, overseeing documentation, and supporting operational activities. Job Responsibility:
Manage company bookkeeping processes and ensure the accuracy of financial records
Oversee client billing cycles, track payments, and follow up on outstanding invoices
Draft contracts and maintain agreements with vendors and external contractors
Organize and manage documentation for onboarding new contractors
Coordinate with contractors to ensure timely invoicing and payment processing
Monitor outbound client billing for precision and efficiency
Update company financial projections weekly to track cash flow
Provide operational support to executives and assist with daily administrative tasks
Track and recover estate-related reimbursements and outstanding payments
Maintain communication with attorneys, vendors, and stakeholders to ensure compliance with estate recovery processes
Track and monitor outstanding estate-related payments, reimbursements, and receivables
Coordinate with relevant parties to recover funds owed to the estate
Maintain accurate documentation of all recovered amounts and outstanding balances
Communicate regularly with attorneys, vendors, and stakeholders regarding recovery status
Ensure all financial recovery activities comply with estate requirements and internal policies
Requirements:
At least 3 years of experience in operations, finance, or administrative management
Demonstrated ability to work with vendors, contractors, and legal or financial stakeholders
Proficient in drafting contracts and managing vendor relationships
Strong organizational and time-management skills with attention to detail
Skilled in using financial software, spreadsheets, and relevant platforms
Excellent communication abilities and a collaborative work ethic
