Job Description:

We are seeking a reliable and detail-oriented Administrative Assistant to join our client in the tax service field. This role is essential in ensuring the smooth operation of our office and providing exceptional support to our staff and clients during tax season and beyond. The ideal candidate should be highly organized, a strong communicator, and comfortable working in a fast-paced, customer-focused environment. Job Responsibility:

  • Answer phones, manage incoming calls, and redirect or take messages as needed
  • Greet and assist clients in person, ensuring a professional and welcoming office environment
  • Schedule and confirm appointments for tax preparation services
  • Assist with the preparation and assembly of tax documents, ensuring all forms are completed accurately and promptly
  • Organize and maintain both physical and electronic files, ensuring confidentiality and compliance with company policies
  • Serve as the primary point of contact for client inquiries, ensuring questions are answered or forwarded in a timely manner
  • Collect and process required documentation from clients, ensuring accuracy and completeness
  • Manage daily office tasks such as ordering supplies, processing mail, and maintaining office cleanliness
  • Assist with data entry and updating customer information in the system
  • Support the tax preparation team with any additional administrative needs

Requirements:

  • 1-2 years of administrative, customer service, or office experience required (experience in a tax services or financial environment preferred)
  • Proficiency in Microsoft Office Suite (Word, Excel, and Outlook)
  • Familiarity with tax preparation software or financial management tools is a plus but not required
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities with keen attention to detail
  • Ability to maintain confidentiality and handle sensitive information with discretion
