Job Description:

We are looking for an Administrative Assistant to join our team in Honolulu, Hawaii on a contract basis. In this role, you will play a key part in supporting marketing initiatives, guest interactions, and administrative operations within the real estate and property management sector. This position is ideal for someone with strong organizational skills and experience in customer service.

Job Responsibility:

  • Develop and implement effective marketing strategies for both print and digital platforms to promote the property
  • Follow up promptly on guest inquiries and maintain accurate records of interactions
  • Participate in outreach marketing efforts, including distributing promotional materials and flyers
  • Coordinate and facilitate the move-in process by touring available units, setting up mini-models, and assisting with lease signings
  • Verify applications and ensure compliance with company policies and procedures
  • Conduct market research, including competitor analysis, and prepare detailed marketing reports
  • Ensure all business transactions adhere to Fair Housing laws, ADA regulations, Fair Credit Reporting Act, and other relevant federal and state guidelines
  • Provide excellent customer service by assisting visitors, answering inquiries, and managing a multi-line phone system
  • Perform receptionist duties and support general administrative tasks as needed
  • Take on additional responsibilities as assigned by management.

Requirements:

  • Minimum of 2 years of experience in an administrative or customer service role
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
  • Strong communication skills, both verbal and written, with the ability to interact professionally with clients and team members
  • Experience with marketing activities, including distributing promotional materials and conducting market research
  • Ability to manage a multi-line phone system and provide receptionist support
  • Familiarity with leasing processes and property management operations
  • Knowledge of relevant laws and regulations, such as Fair Housing and ADA guidelines
  • Highly organized and detail-oriented with the ability to multitask effectively.
