We are looking for a skilled Administrative Assistant to join our team in Huntsville, Alabama. This contract position requires a detail-oriented and organized individual who thrives in a collaborative and supportive environment. The role involves handling a variety of administrative tasks, including accounting responsibilities, to ensure smooth office operations.
Job Responsibility:
Serve as the primary contact for administrative needs, ensuring seamless communication and support
Manage invoicing, purchase orders, and prepare claims documentation with a high level of accuracy
Provide assistance to the property manager by handling scheduling, filing, and document preparation
Screen incoming calls and direct them appropriately, maintaining a courteous and attentive demeanor
Organize and maintain office systems to ensure efficiency and order
Prepare and distribute documents, reports, and other materials as required
Collaborate with team members to support ongoing projects and administrative goals
Utilize Microsoft Office Suite, including Outlook and Excel, for day-to-day tasks
Quickly adapt to new software platforms and technologies as needed
Maintain appropriate business attire and conduct while representing the organization
Requirements:
Proven experience in administrative roles, particularly with invoicing and purchase orders
Proficiency in Microsoft Office Suite, including Outlook and Excel
Strong organizational skills with attention to detail, especially in accounting-related tasks
Exceptional communication skills, both written and verbal
Ability to handle calls professionally and direct them appropriately
Experience with data entry and document preparation
Familiarity with accounts payable processes is a plus
Ability to work collaboratively in a team-oriented environment
