We are looking for a detail-oriented Administrative Assistant to join our team in Irvine, California. In this Contract to permanent position, you will play a pivotal role in supporting the office operations of an accounting firm, ensuring efficiency and accuracy in administrative tasks. The ideal candidate will have prior experience in a similar environment, be tech-savvy, and possess strong organizational skills.
Job Responsibility:
Provide administrative support to the team, including managing schedules, handling correspondence, and organizing files
Assist with tax-related administrative tasks, ensuring compliance with procedures and timelines
Utilize QuickBooks (desktop and online) for data entry, record keeping, and financial management
Support the use of Lacerte tax software and e-filing processes during tax season
Manage inbound calls professionally, addressing inquiries and directing them appropriately
Coordinate and oversee individual tax return documentation, ensuring accuracy and completeness
Collaborate with part-time tax administrators and interns to ensure workflow efficiency
Maintain and update Sharefile systems for secure document sharing
Perform receptionist duties, such as greeting visitors and maintaining a welcoming office environment
Contribute to the overall organization and smooth operation of the office, including assisting with special projects
Requirements:
Proven experience as an administrative assistant, preferably in an accounting firm
Proficiency in QuickBooks (desktop and online) and Lacerte tax software
Familiarity with e-filing processes and individual tax return documentation
Strong organizational and multitasking skills to manage multiple priorities effectively
Comfortable using time management and secure file-sharing software
Excellent communication skills, both written and verbal, to interact with team members and clients
Ability to work onsite in Irvine, California, and adapt to a fast-paced environment
Tech-savvy and able to quickly learn new systems and software tools
