Successful legal firm seeks a highly organized, detail‑oriented Administrative Assistant to support daily office operations, coordination with the accounting department, vendor payments, employee onboarding, and general administrative functions. This role requires professionalism, confidentiality, strong communication skills, and the ability to manage multiple time‑sensitive tasks in a fast‑paced environment.
Job Responsibility:
Serve as a primary point of contact for frequent communication with the firm’s accounting department
Process payments for administrative court costs, court reporters, and local vendors
Prepare check requests for high‑value invoices, including verification and confirmation of wiring instructions
Assist with budget increase requests for active cases
Oversee onboarding of new employees in the office
Execute and maintain the onboarding checklist, ensuring all steps, documentation, and setup tasks are completed accurately and on time
Act as the office liaison with building management and engineering personnel
Manage office operations needs, including monitoring and replenishing office and kitchen supplies inventory
Support general administrative tasks to ensure smooth and efficient day‑to‑day office workflow
Requirements:
3+ years of Administrative Assistant/Legal experience required
Accounting or billing experience required/preferred
Proficient in Microsoft Office, Word, Excel, Outlook
Strong working knowledge of office administrative functions and basic financial processes
Excellent written and verbal communication skills, including strong command of English grammar, spelling, punctuation, and professional correspondence
Ability to communicate tactfully and effectively with individuals at all levels—whether in person, over email, or by phone
