We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive administrative support to our team. The ideal candidate will be a proactive problem-solver with advanced Excel skills, capable of managing data, creating reports, and streamlining administrative processes. This role requires excellent organizational abilities, strong communication skills, and the ability to handle multiple priorities in a fast-paced environment.
Job Responsibility:
Provide high-level administrative support to executives and team members, including scheduling meetings, managing calendars, and coordinating travel arrangements
Prepare, format, and distribute professional documents, reports, presentations, and correspondence
Manage and maintain accurate records, databases, and filing systems (both physical and digital)
Create and maintain complex spreadsheets using advanced Excel functions
Analyze data and generate regular and ad-hoc reports for management
Handle incoming and outgoing communications (phone, email, mail) with professionalism
Coordinate meetings, events, and office activities, including logistics and material preparation
Assist with expense tracking, invoice processing, and basic bookkeeping tasks
Maintain office supplies inventory and place orders as needed
Support special projects and perform other administrative duties as assigned
Requirements:
2+ years of experience in an administrative or office support role
Advanced proficiency in Microsoft Excel, with demonstrated experience using: VLOOKUP and XLOOKUP functions, Pivot Tables and Pivot Charts, Complex formulas and data manipulation
Strong proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook)
Excellent organizational and time-management skills
Strong attention to detail and accuracy
Professional written and verbal communication skills
Ability to prioritize tasks and meet deadlines in a dynamic environment
High degree of discretion and ability to handle confidential information
Nice to have:
Associate’s or Bachelor’s degree in Business Administration or related field
Experience with additional tools such as Google Workspace, QuickBooks, or CRM systems
Basic knowledge of accounting principles
Experience creating dashboards or using Power Query/Power BI (a plus)
