We are looking to hire an Administrative Assistant that play a key role in supporting property management functions for a short term contract. This will include tenant communication, scheduling, documentation, and general office coordination. The ideal candidate is organized, customer-service oriented, and able to manage multiple priorities in a fast-paced environment. This role is on going and in Houlton, ME.
Job Responsibility:
Greet and assist tenants, owners, vendors, and visitors in person and by phone
Respond to inquiries regarding available units, maintenance requests, and general office questions
Process rental applications, lease documents, renewals, and move-in/move-out paperwork
Enter and update tenant information into property management software
Coordinate maintenance requests and communicate with vendors
Maintain organized digital and physical filing systems
Prepare notices, letters, and basic correspondence
Handle incoming/outgoing mail and manage office supplies
Assist with rent collection tracking and basic administrative record-keeping
Requirements:
Previous administrative, office, or customer service experience preferred
Strong communication and interpersonal skills
Proficiency with Microsoft Office (Outlook, Word, Excel)
Ability to learn property management software (training provided)
Strong attention to detail and organizational skills
Ability to handle confidential information with discretion
Reliable, professional, and able to work independently
