We are looking for an organized and responsive Administrative Assistant to support daily office operations for a new property in Boston, Massachusetts. This Long-term Contract opportunity is ideal for someone who enjoys keeping schedules on track, communicating clearly, and providing dependable administrative support in a fast-paced property management environment. The right candidate will be comfortable handling multiple priorities, working with standard office software, and assisting both internal teams and external contacts with professionalism.
Job Responsibility:
Coordinate calendars, appointments, and administrative activities to help maintain efficient day-to-day office operations
Track outstanding items and provide timely follow-up with team members, residents, vendors, or other stakeholders as needed
Manage incoming phone calls and emails, respond to routine inquiries, and direct requests to the appropriate contacts
Enter, update, and maintain records accurately while ensuring documentation is organized and accessible
Prepare correspondence, forms, and general office materials using Word, Excel, and Outlook
Support customer-facing interactions by providing courteous service and clear communication in person, by phone, and through email
Assist with general office coordination tasks that support the launch and ongoing needs of the property management team
Requirements:
Prior experience in an administrative support, office coordination, or similar role
Proficiency with Microsoft Word, Excel, and Outlook is required
Strong technical ability and confidence in learning and using office systems and digital tools
Experience handling inbound calls, outbound calls, email communication, and data entry with accuracy
Excellent organizational skills with the ability to manage multiple tasks and follow through on deadlines
Customer service skills with a detail-oriented and approachable communication style
Nice to have:
Spanish language skills are preferred, but not required
