We are looking for an organized and proactive Administrative Assistant to support daily operations in our San Diego, California office. This is a contract position where you will assist with administrative tasks, ensuring smooth workflows and timely completion of assignments. The ideal candidate will have strong communication skills and the ability to manage multiple priorities effectively.
Job Responsibility:
Assemble and organize office equipment, including mail carts, to support operational needs
Perform data entry tasks with accuracy to maintain up-to-date records
Handle inbound and outbound calls professionally, providing clear and helpful communication
Schedule and coordinate appointments to streamline daily workflows
Manage email correspondence, ensuring timely and appropriate responses
Utilize Microsoft Office tools such as Excel, Word, PowerPoint, and Outlook to complete assigned tasks
Provide excellent customer service to internal and external stakeholders
Assist with general administrative duties as needed to support the team
Maintain organization and orderliness in shared office spaces
Collaborate with team members to ensure efficiency in daily operations
Requirements:
Proficiency in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word
Previous experience managing inbound and outbound calls in a detail-oriented environment
Strong customer service skills with a focus on maintaining positive relationships
Ability to perform accurate data entry and manage electronic records
Skilled in scheduling and coordinating appointments effectively
Excellent written and verbal communication abilities
