Job Description:

Robert Half is sourcing for a highly organized and detail-oriented Administrative Assistant to support an established engineering and subcontracting company in Reno, Nevada. This is a contract-to-permanent opportunity where you’ll play a key role in supporting various departments, ensuring smooth operations, and contributing to the organization’s continued growth.

Job Responsibility:

  • Provide comprehensive administrative support to multiple departments within the company
  • Maintain and organize records, documents, and files to ensure accuracy and accessibility
  • Assist with bookkeeping tasks, including data entry and managing financial records in QuickBooks
  • Handle customer inquiries with professionalism and deliver excellent customer service
  • Coordinate schedules, appointments, and meetings to optimize team productivity
  • Collaborate with colleagues to streamline processes and enhance operational efficiency
  • Prepare and manage correspondence, reports, and presentations using Microsoft Office applications
  • Support order entry, management, and dispatching tasks as needed
  • Perform general office duties, including answering calls, managing emails, and handling inbound/outbound communications
  • Contribute to continuous improvement initiatives to optimize administrative workflows

Requirements:

  • A minimum of 3 years of experience in administrative or support roles
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
  • Familiarity with QuickBooks and basic bookkeeping practices
  • Strong written and verbal communication skills with a focus on being detail oriented
  • Exceptional organizational skills and attention to detail
  • Ability to prioritize tasks effectively and work efficiently in a fast-paced environment
  • Previous experience in customer service is preferred
  • Demonstrated ability to manage multiple responsibilities and meet deadlines
