Position Summary: The Administrative Assistant is responsible for performing administrative and clerical duties for project management team within the company.
Job Responsibility
Responsible for maintaining project stick files with the latest issues of contract drawings
Verify that drawing logs maintained by document control department are current
Maintain log for tracking subcontract work to vendors and other fabricators
Responsible for set up and maintenance of project folders
Generate material receiving lists for issuing too customers (from Fabtrol to Excel Spreadsheets)
Compile preliminary billing documents, when sequences are released, for fabrication
Create transmittals for sending drawings to customers, subcontractors and vendors
Ability to log and issue work orders to processing department
Compose letters, reports etc
Performs various administrative duties as needed
The ability to work overtime and regular, punctual attendance is required
Requirements
Minimum of two years’ experience as an administrative assistant is required
Must be able to work under multiple project managers
Must be able to prioritize and manage multiple ask with accuracy
Ability to effectively communicate with office, shop, clients, and customers as required
Must be proficient in Microsoft Word and Excel
Must have excellent oral and written communication skills
Should be able to prioritize tasks and handle multiple tasks simultaneously
