We are looking for an Administrative Assistant to support daily office operations for a non-profit organization in California. Job Responsibility:
Manage incoming phone calls and emails, providing timely assistance and directing inquiries to the appropriate departments
Coordinate calendars, arrange appointments, and help keep schedules organized for staff and visitors
Enter, update, and maintain records with accuracy while ensuring administrative documents remain well organized
Prepare routine correspondence, reports, and presentation materials using Microsoft Office applications
Support front-office activities by assisting with general customer service and handling both inbound and outbound communications
Monitor administrative workflows and help maintain efficient day-to-day office operations
Assist with spreadsheet tracking, document formatting, and data management to support team needs
Contribute to special projects and process-related administrative tasks as assigned.
Requirements:
At least 1 year of administrative support experience in an office environment
Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint
Experience handling phone-based communication, including inbound and outbound calls
Strong customer service skills with the ability to communicate professionally by phone and email
Accurate data entry skills and a high level of attention to detail
Ability to manage appointments, prioritize tasks, and stay organized in a busy setting
Comfortable working independently while also supporting a collaborative team environment.
