We are looking for a detail-oriented and highly organized Administrative Assistant to join our team in St. Louis Park, Minnesota. This is a long-term contract position offering the opportunity to support multiple projects and teams with a variety of administrative and clerical tasks. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage competing priorities effectively.
Job Responsibility:
Manage and organize complex clerical tasks while maintaining a high level of confidentiality and integrity
Communicate effectively in both written and verbal forms to ensure clear and concise interactions
Oversee office and field office supply inventories, placing orders and managing vendor relationships as needed
Process and properly code invoices, employee credit card reports, and vouchers, ensuring accuracy and compliance with workflow processes
Coordinate check requests and approvals for payment processing
Maintain electronic project files and subcontractor bidding lists to support project needs
Assist with administrative and accounting tasks for multiple projects, including data entry and vendor-related duties
Arrange meals for work meetings and ensure positive and effective communication with staff, subcontractors, and visitors
Support the coordination of bids for office and site-related services such as cleaning, dumpsters, and construction supplies
Perform additional administrative duties as assigned to support the team
Requirements:
A minimum of 5 years of experience in an administrative or office environment
Demonstrated ability to manage time effectively and prioritize tasks in a fast-paced setting
Strong organizational skills with exceptional attention to detail
Excellent written and verbal communication skills
Proven ability to work independently while maintaining a high level of professionalism and confidentiality
Proficiency in office technology and software, including Microsoft Teams, Office 365, CMiC, Bluebeam, and similar tools
Flexibility and adaptability to handle a variety of situations and changing priorities
Ability to remain composed and productive under pressure and frequent interruptions
