Job Description:

We are looking for a dedicated and organized Administrative Assistant to join our client during their busy season. This long-term contact position with potential to hire offers an excellent opportunity to contribute to a detail-oriented and client-focused environment, supporting various administrative and receptionist tasks. The ideal candidate will excel at multitasking, maintaining an efficient workflow, and delivering exceptional customer service.

Job Responsibility:

  • welcome clients and visitors with a detail-oriented and friendly demeanor, ensuring a positive first impression
  • answer incoming calls, direct them to the appropriate team members, and respond to inquiries promptly
  • manage mail and packages, including sorting, distributing, and coordinating outgoing shipments
  • provide administrative support by scheduling meetings, maintaining calendars, and preparing documentation
  • create reports, correspondence, and presentations as needed for management or team use
  • monitor office supplies and coordinate orders to maintain adequate inventory levels
  • organize and maintain both electronic and physical filing systems for easy access and retrieval
  • collaborate with team members to address client requests and ensure smooth communication
  • handle sensitive and confidential information with discretion and professionalism
  • assist with special projects and initiatives as assigned by firm leadership

Requirements:

  • Prior experience in an administrative or receptionist role, preferably within accounting, finance, or detail-oriented industries
  • strong communication skills, both verbal and written, to effectively interact with clients and team members
  • proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint)
  • familiarity with QuickBooks or similar software is advantageous
  • excellent organizational skills and attention to detail to manage multiple tasks efficiently
  • ability to prioritize and adapt in a fast-paced work environment
  • a meticulous and customer-focused attitude, ensuring high-quality service delivery
  • high level of integrity and capability to handle confidential information responsibly

Nice to have:

familiarity with QuickBooks or similar software
