Job Responsibility:
welcome clients and visitors with a detail-oriented and friendly demeanor, ensuring a positive first impression
answer incoming calls, direct them to the appropriate team members, and respond to inquiries promptly
manage mail and packages, including sorting, distributing, and coordinating outgoing shipments
provide administrative support by scheduling meetings, maintaining calendars, and preparing documentation
create reports, correspondence, and presentations as needed for management or team use
monitor office supplies and coordinate orders to maintain adequate inventory levels
organize and maintain both electronic and physical filing systems for easy access and retrieval
collaborate with team members to address client requests and ensure smooth communication
handle sensitive and confidential information with discretion and professionalism
assist with special projects and initiatives as assigned by firm leadership
Requirements:
Prior experience in an administrative or receptionist role, preferably within accounting, finance, or detail-oriented industries
strong communication skills, both verbal and written, to effectively interact with clients and team members
proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint)
familiarity with QuickBooks or similar software is advantageous
excellent organizational skills and attention to detail to manage multiple tasks efficiently
ability to prioritize and adapt in a fast-paced work environment
a meticulous and customer-focused attitude, ensuring high-quality service delivery
high level of integrity and capability to handle confidential information responsibly
