The Administrative Assistant supports a team of Tax Preparers and Tax Coordinators by facilitating the submission of tax returns, monitoring e-file status, and maintaining accurate case documentation within the CRM. This role is critical to ensuring returns are completed accurately, submitted on time, and handled with the highest level of confidentiality. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced, collaborative environment.
Job Responsibility:
Maintain strict confidentiality of sensitive client financial and tax information
Assist with entering client data into tax preparation and e-filing software to ensure accuracy
Review client documentation to confirm all required materials are received prior to filing
Verify tax returns for completeness, accuracy, and required signatures before submission
Oversee and monitor the e-filing process to ensure successful transmission to IRS and state agencies
Track submitted tax returns and maintain detailed records of e-file status
Organize and maintain signed tax returns and supporting documents according to company standards
Update CRM case notes accurately to reflect submission status and important updates
Collaborate closely with Tax Preparers and Tax Coordinators to support workflow and meet deadlines
Balance multiple priorities in a fast-paced environment while maintaining attention to detail
Perform additional duties and responsibilities as assigned
Requirements:
1–2 years of experience providing administrative, processing, or operational support in a tax, accounting, or similar environment preferred
Strong attention to detail with a commitment to accuracy in data entry and document management
Ability to handle confidential information with discretion and integrity
Excellent written and verbal communication skills
Ability to work independently while also contributing effectively within a team
Strong organizational skills with the ability to manage competing priorities
Self-motivated with a proactive and positive approach to work
Professional demeanor with the ability to interact effectively with employees at all levels
Proficiency in Microsoft Office Suite, Excel, Google Workspace, Calendly, and internal communication tools
