The Administrative Assistant provides key support to the partners and professional staff of Abdo, enabling our firm to deliver exceptional client service. This position requires the capability to manage multiple relationships both internally across Abdo and externally with clients, and an ability to understand, anticipate, and adapt to our partners and staff needs. An advanced proficiency level of administrative skills including communication and technology is required. A successful Administrative Assistant takes pride in the support provided to the firm and understands that their success is based on the success of others.
Job Responsibility:
Provide general administrative support to partners and professional staff to fulfill the day to day operating needs of Abdo
Preparation of client and Abdo deliverables such as proposals, presentations, reports, and spreadsheets
Attend departmental meetings
Key communication with external sources (clients, attorneys, banks, etc.)
Preparation of bank confirmations and engagement letters/annual agreements
Identify opportunities to improve processes and create efficiencies
Prioritize workflow and deadlines, while practicing good time and project management skills
Generate letters, memos, emails, as requested
Proofread and ensure accuracy of all products
A minimum of 2 days per week reception/backup reception work including answering phones and greeting clients and visitors
Interact professionally with internal and external clients and prospects
handle inquiries effectively and in an organized and courteous manner
Maintain a clean, neat, and organized office environment
Requirements:
2+ years of administrative experience
previous experience in a professional services / CPA firm highly desirable
Customer-service oriented, shown by the following attributes: proactive, communicative, observant, knowledgeable, reliable
Advanced knowledge of Microsoft Word, Excel, PowerPoint
Proven ability to work in high volume, fast-paced, deadline-driven environment and handle multiple, simultaneous projects while prioritizing, planning and organizing
Ability to work efficiently in a hybrid work environment
High level of organization, focus, exceptional attention to detail and strong follow-up skills
Superior communication and proofreading skills
Ability to learn new computer programs demonstrating comfort and confidence with technology
Available to work overtime as needed
